Job Description
The Operations concierge role is a merger between hospitality, project coordination, and task management. You will be assigned to a specific business leader and your Primary Focus will be to provide the support they require on tasks, projects, logistics, and errands.
Responsibilities
- Calendar Management: Organizing and managing the CPO’s schedule, including setting up meetings, appointments, and reminders.
- Communication Management: Handling incoming emails, calls, and messages on behalf of the CPO, filtering and prioritizing important communications.
- Travel Arrangements: Planning and coordinating travel arrangements, including flights, accommodations, and transportation, ensuring smooth travel experiences.
- Meeting Support: Assisting in preparing agendas, taking meeting minutes, and ensuring follow-up on action items from meetings.
- Project Coordination: Supporting the CPO in managing various projects, tracking progress, and ensuring deadlines are met. This includes onboarding activities and product sourcing
- Stakeholder Engagement: Interacting with internal and external stakeholders, clients, partners, and executives on behalf of the CPO.
- Research & Documentation: Research industry trends, market competition, and emerging technologies to keep the CPO informed.
- Confidentiality Management: Handling sensitive and confidential information with discretion and maintaining the highest level of professionalism.
- Event Coordination: Assisting in organizing events, conferences, and product launches, ensuring seamless execution
- Process Mapping and workflow Optimization: Identifying opportunities to streamline processes and improve the overall efficiency of the CPO’s office.
- Problem-solving: Addressing challenges and finding solutions to issues that arise in the CPO’s day-to-day operations.
- Overall, as a Concierge Officer to a Chief Product Officer, you would play a crucial role in managing administrative tasks, facilitating communication, and supporting the CPO in focusing on strategic initiatives and decision-making.
Qualifications
- Ability to utilize Google Mail proficiently – understanding inbox zero and triaging emails
- Ability to write and speak proficiently
- Ability to resolve and close out tasks cost-efficiently
- Must be agile and resourceful and be willing to go on errands to source items
