We are a reputed Group of Companies having its a presence in the UK, Africa, Middle-East & India in diverse business interests viz; Oil & Gas, Food, Agri Commodities, Transport and Logistics, Tiles, Mining, Printing and packaging, Hospitality, etc
Responsibilities
Expatiate Ticket and Hotel Booking Management:
o Coordinate all aspects of expatriate travel including flight bookings, hotel accommodations, and transportation arrangements.
o Ensure timely and cost-effective arrangements while adhering to company policies and budgetary guidelines.
Transport Management:
o Oversee transportation for expatriates including Vehicle allocation in co-ordination with the National Transport Executive.
o Vehicle Maintenance
o Review and ensure vehicle permit and license renewal.
o Review and optimize the fuel utilization based on the consumption.
Management Meeting Coordination:
o Provide administrative support during the Management meetings.
o Organize, Transport, hotel books, food arrangements, Airport pickup protocol and security protocol for Senior Management.
Corporate Affairs Support:
o Assist the Head of Corporate Affairs in preparing and submitting incentive claims to government authorities.
o Coordinate with relevant departments to gather necessary documentation and ensure compliance with incentive programs.
o Co-ordinate with national Staff in preparing the Board resolution and other various documents as and when necessary.
Intercompany Coordination:
o Facilitate communication and coordination among various group companies for intercompany Expat movements.
o Expat Medical Assistance across the group
o Liaise with different business units on various miscellaneous requests as and when necessary.
Assistance to Company MDs:
o Provide administrative support to various group company Managing Directors as needed, including handling official requests, and other coordinating activities.
Expatriate House Management:
o Oversee the management of expatriate housing arrangements, including lease agreements, maintenance, and related services.
o Ensure expatriate housing meets company standards and provides a comfortable living environment.
Other Special Tasks:
o Undertake additional administrative tasks and special projects as assigned by management.
o Provide support for medical assistance arrangements and any other ad-hoc requirements for expatriate employees.
Qualification
- Bachelor’s degree in business administration, Management, commerce or related field.
- Proven experience in administrative roles, preferably in a multinational corporation or expatriate services environment.
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
- Proficiency in MS Office and familiarity with travel booking and corporate affairs procedures.
- Attention to detail and a high level of accuracy in handling administrative tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing priorities and work independently with minimal supervision.
