Job Description
We are looking for a Part Time Executive Assistant (between 15 and 30 hours per week) to support the CEO. The successful candidate will play a critical role in managing the day-to-day tasks and responsibilities of the CEO.
Responsibilities
- Reports to DonorSearch office daily in Marriottsville, MD to file incoming mail, deposit checks, accept packages, and greet visitors
- Work independently to support the CEO with administrative tasks exercising confidentiality and discretion
- Organize and monitor email inbox by drafting responses and flagging urgent messages
- Has familiarity with the CEO’s calendar and scheduling preferences to schedule internal or external meetings, appointments, and conference calls for the CEO
- Assist in preparing agendas, collating documents, and briefing materials for meetings, as well as taking minutes and following up on action items
- Work in collaboration with Human Resources to book travel accommodations for the CEO’s business trips or conferences
- Organize and maintain important documents, contracts, and files
- Assist the CEO in various projects by conducting research, compiling data, and preparing presentations or reports
- Navigate unexpected issues or challenges efficiently, often requiring quick thinking and resourcefulness
- Collaborate successfully and effectively with all internal departments as well as members of the Executive leadership team
Qualification
- Proven experience as an Executive Assistant to a CEO or VP
- 1-2 hours per day onsite at Marriottsville office
- Excellent written and verbal communication skills
- Ability to use discretion and maintain confidentiality
- High School diploma required, a Bachelor’s degree from an accredited university is preferred
