Responsibilities
- Warmly welcome and assist visitors to the organization.
- Provide information about the company and its activities.
- Answer and Direct Phone Calls:
- Manage the main phone line, answer calls, and direct them to the appropriate staff members.
- Take messages and relay important information to the relevant parties.
- Maintain a tidy and organized reception area.
- Monitor and ensure the security of the front desk.
- Oversee the usage of meeting rooms, ensuring they are well-maintained and equipped.
- Manage office supplies and coordinate with the appropriate personnel for restocking.
- Assist in various administrative tasks, such as sorting mail, managing appointments, and coordinating meetings.
- Provide support to other departments as needed.
- Issue visitor badges and ensure that visitors sign in and out of the premises.
- Accept and sign for deliveries, then notify the appropriate staff members of their arrival.
- Address general inquiries from customers and provide basic information about products or services.
- Keep a log of all visitors, including their purpose of visit and the staff member they are meeting.
- Work closely with other departments to ensure smooth communication and coordination.
Qualification
- Minimum of a high school diploma; additional qualifications in Office Management or a related field is a plus.
- Proven experience as a Front Desk Officer or in a similar role.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite.
- Ability to multitask and prioritize tasks effectively.
- Professional appearance and demeanor.
