Job Description

PERSONAL ASSISTANT

Schedule, coordinate, and manage meetings including sending out agendas and taking meeting minutes.

Responsibilities

  • Manage the Managements’ diary.
  • Help with daily time management.
  • Manage the law library.
  • Routine filing and maintenance of documents
  • Schedule, coordinate, and manage meetings including sending out agendas and taking meeting minutes.
  • Handle the Management’s correspondence, emails, letters etc.
  • Manage and keep record of the Management’s medical appointments abroad.
  • Take dictations and draft correspondence such as emails and letters.
  • Invoice processing on the DocuSign platform.
  • Ensure thorough editing of the Managemment’s manuscripts.
  • Manage various projects, including events.
  • Draft legal notes and reports.
  • Work with other members of staff on different projects and events.
  • Liaise with staff, sister companies and subcontractors on behalf of the Management.
  • Liaise with the Directors as required.
  • Oversee the Management’s flight itineraries, visa processing, passport renewals, etc, liaising with the Protocol and Logistics department
  • Travel with the Management if needed, even on short notice.
  • Attend events with the Management if required.
  • Represent the Management at meetings or functions if needed.
  • Ensure regular stock taking and proper documentation of Management’s personal items in storage.
  • Work hand in hand with HR & Administration and Personnel Management to ensure adequate stocking (purchase, issuance and digitalized documentation/management) of all corporate items in storage.
  • Research and speech writing for the Management with respect to engagements and projects including with the sister companies
  • Run personal errands when requested.
  • Work with vendors of personal clothing and accessories. PERSONAL ASSISTANT
