Overview

We’re looking for a Full-Time Sponsorship Operations Coordinator to support our sales team with the end-to-end project management of signed sponsorship deals, communications with brand partners and clients, and performance reporting

To support our lightning-fast growth, we are looking for a dependable, detail-oriented Sponsorship Operations Coordinator with exceptional written communication skills who wants to take on the challenge of project managing complex sponsorship deals.

This is a critical role in our organization. Creative, cross-channel campaigns are core to what we do. What makes YAP unique is our ability to package and sell custom sponsorship deals across many channels. Successful, dependable project management of these deals is what gives our sales team the confidence to close them and our brand partners the confidence to buy more of them.
This role provides excellent opportunities for learning and developing new skills. You’ll sit right in the middle of sales and operations which will give you exposure to many different aspects of the business. You will also interface directly with key stakeholders such as clients and members of our executive team.

Responsibilities:

 

  • Project Management: Coordinating between sales, creative, and operations teams to ensure all deliverables are completed on time and to specification.
  • Stakeholder Communications: Serve as the main point of contact on specific deals for clients and sponsors, updating them on campaign progress, and managing their expectations.
  • Execution Oversight: Ensure ads or sponsorship elements are properly executed, even if you are not the one directly setting up the ads. Coordinate multiple teams to ensure proper delivery.
  • Reporting: Collecting deliverables and performance data to generate reports for stakeholders.
  • Data Entry: Entering data about deals that have closed into our campaign database and trackers.
  • Compliance: Ensuring that all campaign elements comply with legal and brand guidelines.
  • Team Collaboration: Work closely with sales and operations to ensure accurate campaign reporting and smooth operational workflows.
  • Operations Support: Support with onboarding operations such as inserting ad markers in old podcast episodes, removing old advertisements from podcast episodes, flighting ads in Megaphone, coordinating with the hosts about interviews, and their social media posting schedule etc.
  • Process Improvements: Assist with the implementations of process improvement initiatives developed by Managers and COO.
  • Research: Provide sales and marketing support by conducting research on target brands and podcasters, compiling data such as contact information, social media handles, etc.

Qualification

  • Must be available for meetings daily between 9 AM and 2PM ET.
  • Minimum of 2 years in the advertising or podcasting industries.
  • Bachelor’s degree or equivalent work experience.
  • Efficiency. Ensures workflows are efficient and contain minimal wasted
  • effort. Organization and planning. Plans, organizes, schedules, in an efficient, productive
  • manner. Attention to detail. Does not let important details slip through the cracks. Able to follow instructions and delicate processes with minimal mistakes.
  • Dependability. Acts without being told what to do. Able to manage recurring daily, weekly, monthly, and quarterly tasks without reminders.
  • Excellent communication skills, especially written. Communicates in a way that represents our values. Makes communication as easy and frictionless as possible with all stakeholders.
