Job Description
We are seeking a highly skilled and motivated Executive Assistant to provide comprehensive support to our CEO.
Responsibilities
Strategic Support:
- Collaborate closely with the CEO to understand the company’s engineering vision, goals, and strategic initiatives.
- Provide input and insights from an engineering perspective to assist the CEO in making informed decisions.
- Conduct research, analyze data, and prepare reports to aid in strategic planning and decision-making processes.
Calendar and Communication Management:
- Manage the CEO’s complex calendar, including scheduling and coordinating meetings, conferences, and travel arrangements.
- Prioritize and manage communications, ensuring timely responses and maintaining a high level of professionalism.
Technical Document Review:
- Review and summarize technical documents, reports, and presentations for the CEO, highlighting key points and potential areas of interest or concern.
- Assist in the preparation of technical materials for presentations, conferences, and meetings.
Confidential Information Handling:
- Handle sensitive and confidential information with the utmost discretion and integrity.
- Maintain confidentiality while dealing with company and industry-related matters.
Project Coordination:
- Collaborate with cross-functional teams to facilitate the execution of projects by monitoring timelines, tracking milestones, and ensuring alignment with the CEO’s priorities.
- Stakeholder Engagement:
- Liaise with internal and external stakeholders, including clients, partners, and investors, to represent the CEO’s office professionally and maintain positive relationships.
- Event Coordination:
- Plan and organize company events, board meetings, and executive retreats, ensuring seamless execution and a positive experience for all participants.
Continuous Improvement:
- Identify opportunities for process optimization and enhancement within the CEO’s office and implement best practices to increase efficiency.
Qualification
- Bachelor’s Degree in Engineering or a related Technical field.
- Proven experience in an executive support role, preferably with an engineering or technical background.
- Strong understanding of engineering principles and technical terminology.
- Excellent written and verbal communication skills.
- Advanced proficiency in office software, including Microsoft Office Suite and collaboration tools.
- Exceptional organizational skills and attention to detail.
- Ability to work independently, prioritize tasks, and manage multiple deadlines.
- Discretion and ability to handle confidential information with professionalism.
- Strong interpersonal skills and the ability to build relationships across various levels of the organization.
- Flexibility to adapt to changing priorities and a fast-paced environment.
